In Employee Timecards you can view and edit employee timecard punches and download labor reports.


Labor Reports

To view labor reports:

  • Type of Report
    • Select the report from the dropdown menu
      • Detailed Labor Report -- Provides date and time of every timecard punch for the selected view (single or multiple employees, selected date range)
      • Labor Report -- Provides a summary with total hours for the selected view (single or multiple employees, selected date range)
    • Select PDF or Excel spreadsheet to download the report

Search Employees

Search Employees sets the employee view for timecards. The default is "Show All" and will show all employees for the selected period. To view timecards for an individual employee choose their name from the drop-down box.




Reporting Range

To set the reporting range use the buttons or set a custom date range.

  • Today -- Shows today's timecard punches
  • This Pay Period -- Shows timecard punches for the current pay period
  • Last Pay Period -- Shows timecard punches for the previous pay period
  • Custom -- Click the calendar to set the first and last day of the reporting period

NOTE: Pay Periods are defined in Settings > Labor Settings > Payroll Settings



Adjusting Timecards

Employees don't always clock in/out correctly and managers need to be able to add shifts, close open shifts and adjust clock in/out times.


Editing an existing shift

Highlighted Shifts -- If a a shift is highlighted, this means it is open and the employee forgot to clock out. The clock-out time for the employee needs to be entered before payroll so they can get paid for the shift.


To Edit an Existing Shift:

  • Click the 3 dots on the far right, next to the employee's shift
  • Choose Edit Details from the menu
  • In the Edit Timecard panel:
    • for a highlighted shift, in End Time, add a clock out time
    • Click Save to update the time


TIP: Edits made to timecards can be viewed by clicking View Logs from the 3-dot menu.


Highlighted shifts are "open shifts" where the employee forgot to clock out


Click the menu icon and select Edit Details to edit the time


Any of the shift information can be edited. For highlighted Shifts, enter the missing clock-out time and save the edits


Clicking View Logs will provide a record of any edits that were made to the timecard.




Adding a Shift

If an employee forgets to clock in completely, a shift can be added.

  • Click the Add Time button
  • In the Edit Timecard panel:
    • Employee -- Select the employee name from the drop-down menu
    • Employee Position -- Select the employee position. Positions are set up in Employees > Positions
    • Start Time -- Enter the shift start-time
    • End Time -- Enter the shift end-time
    • Date -- Click the calendar to choose a date for the shift. The default is today.
    • Notes -- Enter notes regarding the manual time entry (e.g. "Employee forgot to clock in.")


Adding and Adjusting Breaks

Break enforcement can be enabled in Settings > Labor Settings. When breaks are turned on, employees clock in/out for breaks as well as their shift.


To Add or Edit Breaks:

  • Click the 3 dots next to the shift
  • Choose Edit Details from the menu
  • In the Edit Timecard panel:
    • Scroll below the notes to Breaks
    • To add a break click the Add Break button
    • To edit an existing break Click the Edit button next to the break
    • In the Edit Break panel:
      • Enter the break start time and end time
      • Select whether the break is paid or unpaid


Under Breaks, select Add or Edit to adjust breaks


Edit the break by setting the start and end time, and if it's a paid break


Viewing Employee Timecard Photos

When enabled, the system takes photos when employees clock in/out for their shifts (not breaks).

To view employee clock in/out photos

  • Click the 3 dots next to the shift
  • In the menu, choose View Logs
  • If a clock in/ image was taken it will display in the logs
